As a Personal Assistant and Receptionist you in one hand work with a team of lawyers and help them in their daily administrative tasks + you are in charge of the reception (30% of the time)

Client Details

The client is an international company located in Brussels (Ixelles)

Description

Personal Assistant 70%:

  • Billing: gathering information, checking predrafts/drafts, liaising with partners and the billing team in London to ensure the invoices are finalised/sent correctly and on time.
  • Organising, coordinating and arranging meetings at the request of the lawyers: scheduling client appointments
  • Managing the agendas
  • Travel bookings (hotel, flight, train, taxi,…)
  • Preparing court paperwork
  • Copying, printing
  • Create and maintain filing and other office systems

Receptionist 30%:

  • Answering calls, taking messages and handling correspondence
  • Welcoming visitors
  • Managing meeting rooms
  • Order and maintain stationery and equipment
  • Sort and distribute incoming post and organise and send outgoing post

Profile

  • You already have at least 2 years experience in a similar function or a function in general administration
  • You have a good knowledge of MS Office
  • You have a very good level in English + French OR Dutch
  • You are a proactive person
  • You are a team player and you are very well organised
